Informativa sulla privacy di Lilia

Lilia — Privacy Policy

Last updated: October 5, 2026 · Versione italiana più sotto

This Privacy Policy explains how Lilia, the visit assistant by IntelFriends, accesses, uses, stores, shares and deletes data, including the Google user data that Lilia receives through Google APIs when a doctor connects a Google account.

1. Who we are

Lilia is a service of BB Enterprises GmbH, Corso Elvezia 9a, 6900 Lugano, Switzerland (UID CHE-145.401.181), operating under the IntelFriends brand ("IntelFriends", "we"). For privacy questions write to admin@intelfriends.com.

2. What Lilia is

Lilia is a desktop application used by doctors of IntelFriends' client practices. It records the visit on the doctor's computer, transcribes it and, when the doctor asks, prepares a summary.

Connecting a Google account is optional. The doctor connects it from Lilia's settings, only if they want to, and can disconnect it at any time.

3. Google user data that Lilia accesses

When the doctor connects a Google account, Lilia requests these permissions:

  • openid: the identifier of the doctor's Google account.

  • calendar.events.owned: the events on the calendars the doctor owns. For the current day, Lilia reads each event's title, time, description and video meeting link, and the name and email address of the first guest (the patient).

  • meetings.space.readonly (read-only): the doctor's Google Meet meetings in progress, their participants, and when each participant joined and left.

Lilia does not access calendars the doctor does not own, nor Gmail, Google Drive, Google Contacts or any other Google data.

4. How Lilia uses Google user data

Lilia uses Google user data only to provide these features to the doctor:

  • showing the day's appointments in Lilia's agenda;

  • attaching each recording to the right appointment;

  • starting the recording only after the doctor has joined the Google Meet video visit, never in the waiting screen, and stopping it when the doctor leaves. The account identifier is used to recognize the doctor among the participants;

  • after the visit is transcribed, adding one line ("Rif. LILIA#" followed by the visit code) at the end of the appointment's description, plus two private event properties (the visit code and its status), so that the doctor can find the transcript from the calendar.

Lilia does not create or delete calendar events. It does not use Google user data for advertising, does not sell it, and does not use it to develop, improve or train artificial intelligence or machine learning models.

5. How Lilia stores and protects Google user data

  • Access tokens. The keys that Google issues to Lilia are stored only on the doctor's computer. They are never sent to IntelFriends' servers.

  • On the doctor's computer, Lilia keeps the day's appointments and the data of recorded visits.

  • On IntelFriends' servers, in a data center in Helsinki (Finland, European Union), Lilia stores for each recorded visit the following data taken from the calendar event: the patient's name and email address, the event's identifier, title and time, and the video meeting platform. It also stores the visit's transcript, the doctor's notes and the summary.

  • In IntelFriends' archive, if the practice uses it: an encrypted copy of the visit audio, in a data center in the European Union.

  • Lilia does not keep data about the other participants of a Google Meet meeting.

  • All connections between Lilia, IntelFriends' servers and Google are encrypted (HTTPS). Only authorized IntelFriends staff can access the servers. IntelFriends staff do not read Google user data, unless the doctor asks for help with a specific visit, it is necessary for security purposes, or the law requires it.

6. How Lilia shares Google user data

  • With the practice's management system, a service provided by IntelFriends: when the doctor sends a visit summary to it, Lilia uses the patient's name and email address from the appointment to find or create the patient's record.

  • With no one else. Lilia does not transfer Google user data to third parties, except as necessary for security purposes or to comply with the law.

    • For transcription, Lilia sends only the visit audio to ElevenLabs, without any Google user data.

    • For the summary, Lilia sends to OpenAI only the visit text, with names and contact details replaced by labels. The names taken from the calendar are used, on the doctor's computer, precisely to remove them from the text.

  • We do not sell Google user data.

7. How long we keep data, and how to delete it

  • Access tokens: until the doctor disconnects Google. In Lilia: Settings → Google account → "Scollega" (Disconnect). Lilia asks Google to revoke its access and deletes the tokens from the computer. Access can also be removed from the Google account, at myaccount.google.com/connections.

  • Visit data on IntelFriends' servers, including the data taken from the calendar: for as long as the contract with the practice lasts. When the contract ends, it is deleted within 30 days. Doctors and patients can ask to delete it earlier by writing to the practice or to admin@intelfriends.com.

  • The "Rif. LILIA#" line stays in the calendar event until the doctor removes it.

  • Visit audio: stays on the doctor's computer. Lilia deletes it from the computer only after saving an encrypted copy in IntelFriends' archive, and after the number of days chosen by the doctor. In the archive the copy stays for as long as the contract with the practice lasts.

8. Limited Use

Lilia's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

9. People's rights

For visit data, the medical practice is the data controller; IntelFriends processes it on the practice's behalf. Doctors, for their account data, and patients, for the data of their visits, can ask to access, correct or delete it by writing to the practice or to admin@intelfriends.com. They can also lodge a complaint with the data protection authority: in Italy, the Garante per la protezione dei dati personali.

10. Changes

If this policy changes, the date at the top says so.

Lilia — Informativa sulla privacy

Ultimo aggiornamento: 5 ottobre 2026

  • mostrare gli appuntamenti del giorno nell'agenda di Lilia;

  • collegare ogni registrazione all'appuntamento giusto;

  • far partire la registrazione solo quando il medico è entrato nella videovisita su Google Meet, mai nella schermata d'attesa, e fermarla quando esce. L'identificativo dell'account serve a riconoscere il medico fra i partecipanti;

In Lilia: Impostazioni → Account Google → «Scollega».
